Why should I use The VA Team Ltd Virtual Typing Services instead of a temporary member of staff?

Hiring a temp can be expensive. With The VA Team Ltd you’ll pay only for your virtual typing and digital dictation services, and nothing else. With a temp you end up with a different person each time. Instead, our team gets to know your business and we store your specific templates on file so that the process is seamless every time. We also work in the evenings and during the weekend!

I am not familiar with digital dictation; how does it work?

The digital dictation process is simple.You simply dictate into a digital recorder and the sound is then transferred into voice files. These files can then be uploaded to aPC or laptop and sent over to The VA Team as an attachment via e-mail, or through our website. Your voice files are then typed up by our expert transcriptionists into Word documents (and/or your particular templates) and then sent back to you.

I do not have a digital recorder at present; where can I purchase one?

We are happy to offer advice and guidance to get you started. We can give you advice on the best type of recorder for your type of work,as well as guidance on the best places to purchase the device.

What about confidentiality?

The VA Team is registered with the Information Commissioner’s Office. All of our clients’ work is treated in the strictest confidence, and will never be used for our personal gain or divulged to a third party in any way.

This is outlined in our Terms of Business. All of our transcriptionists are based in the UK and have signed Confidentiality Agreement Forms, and we are happy to sign any CAFs if requested to do so.

When can I expect the typing to be completed?

The VA Team Ltd aims to return all typing within 24 hours (or within your personal timescale for larger projects).We do not outsource any of our work abroad. All of our virtual assistants are based in the UK and have many years of experience. They work during the day, and can offer an offer an out-of-hours service on evenings and weekends.

How much does a virtual typistcost?

The cost varies, based on the complexity of the dictation, the terminology involved, and the volume, regularity and turnaround times.
We charge £1.40 ‘per digital minute,’ so you know exactly how much we will be invoicing you for and how much dictation you are submitting. For all non-digital typing, we charge on an hourly basis.
Our rates include:

  • An excellent standard of grammar, spelling and punctuation
  • Upon completion, all typing is proofed by the typist
  • There is no set-up fee or ongoing charges, you only pay for the service as and when you require it
  • We do not charge VAT, so there is no extra cost on top of our fees

We require you to complete a short booking form– this can be done via e-mail or scanning for speed. Once this is received we are ready to get started! If you have any letterheads or templates you would like us to use, these can be sent over and we can be typing for you and/or your colleagues by the end of the day. How do we charge

Our hourly rate for ad hoc work is £21.00 per hour – however we offer a variety of retainer packages as well. – All invoices are sent out monthly and need to be settled within 7 days of the invoice date

Do you have packages available for purchase?

Yes ourVA’s Retainer Package(s)

This covers all services listed under general virtual assistance and is purchased in advance each month for regular support. And tracked by each task carried out.So you only pay for what you use.You will get set number of hours per month spent on your business tasks by your own named virtual assistant.Whilst these must be used within 4 weeks from purchase you still have the option of adding additional hours if needed.

 

Virtual Typing Retainer Package(s)

We provide an affordable, reliable and flexible service where all typing incorporates an excellent standard of spelling, grammar and punctuation and include:

Transcription/Audio typing services.

At the outset, our rate is £1.40 per digital minute and will be invoiced at the end of each project.There is no setup or ongoing monthly fee, no minimum amount required per month;you just pay for the typing to be done as and when you need it!? (See infographic attached)

 

Virtual Receptionist/ Call Answering

Welcome to freedom from the phone constantly ringing giving you time to concentrate on your business. Enjoy peace of mind knowing that your important customers are in very good hands. We have a few packages available:

Small caller package:

One-off Setup Fee of £25.00 and a £18 per month on direct Debit per company/brand 10 calls included for the first month and 5 call per month thereafter.Any additional calls are charged at £0.95 each Inbound for the first 2 mins, then £0.35 per min thereafter.
Outbound calls are charged at £0.95 each call for the first 2 mins, then £0.35 per minute thereafter, if required.

Termination: This agreement may be terminated by either party upon 30 days’ written notice. Until notice of termination has been received and notice period has expired.

 

SME package

One-off Setup Fee of £25.00 and a £35 per month on direct Debit per company/brand 20 calls included for the first month and 10 call per month thereafter.Any additional calls are charged at £0.95 each Inbound for the first 2 mins, then £0.35 per min thereafter.

Outbound calls are charged at £0.95 each call for the first 2 mins, then plus £0.35 per minute thereafter, if required.

When do we work

Our business hours are Monday through Friday from 09H00 -> 17H00, excluding Bank Holidays. Even though we not 24/7, we will always turn your request around and have it delivered back to you where possible within 24 working hours.
